Mail Merge for Beginners



  • Open Microsoft Word and create a new document.
  • Type the sample letter as it is.

In this practical, we will learn the fundamentals of mail merging in Microsoft Word.
  • Let's start mail merging.
  • Click the "Mailings" tab. Then click Start Mail-Merge, and from the dropped menu, select "Step-by-Step Mail Merge Wizard.". On the right side of the window, you could see the Mail Merge pane. 
  • Now you are in Step 1 of the 6-step process. From the "Mail Merge Pane," select "Letters" document type. Click 
  • Click "Next: Starting Document."
  • As we already have the letter in the current document, select "Use the Current Document." 
  • Click "Next: Select Recipients."
  • In this step, we are going to type the list below. Select "Type a new list" and click "Create."

 
    • In this "New Address List" window, we could see a type of table with many columns. First, let's remove unwanted columns. Select "Customize Columns" and delete unwanted columns.

    • Also, you can rename column names. Click "Rename..." and change the column names to the ones we have.

    • Now start entering six students data.

    • When you finished entering, click OK and save it to your computer.

    • In the "Mail Merge Recipients" window, click "OK."

    • Then click "Next: Write your letter."

    • In this, we are going to replace the placeholders with actual data items. To do that, let's start with the title. Select <<Title>> and then click "More Items." From the Insert Merge field window, select the title and click "Insert." Do this for all the other placeholders (first name, last name and project title). Then click "Close" to close the Insert Merge Field window. 

    • Select "Next: Preview Your Letters.".

    • You can see the merged letters here. You can navigate through letters by clicking the next and previous recipients.

    • Click "Next: Complete the Merge."

    • To create merged letters as a separate document, click "Edit Individual Letters.". 

    • And that is all. Congratulations! You have successfully completed the basic mail merge.
